How Vatoris Inc. collects, uses and shares information when you visit www.vatoris.com or contact us through it.

EFFECTIVE AND LAST UPDATED

01

Who we are

Vatoris Inc. (“Vatoris”, “we”, “us”) is a Delaware corporation based at 90 Broad St, 2nd Floor, New York, NY 10004, USA. We supply used and refurbished mobile clinical units, such as field hospitals, decontamination units and mobile laboratories, and the Vatoris EHR hospital information system to businesses and governments.

This policy covers www.vatoris.com (the “site”) and the enquiries you send us through it. Personal information we handle for a customer under a sales contract or a Vatoris EHR agreement is governed by that agreement, not by this policy.

Questions about this policy: hello@vatoris.com or +1 516-386-2126.

02

Information you give us

Contact form. On the contact page we ask for your name, email address and message, and, if you choose, your company, the topic and when you need it.

Quote requests. When you request a quote for a unit, we receive your name and email address and the configuration you chose: the model and quantity, equipment and finish requests, any changes you describe, the delivery country and delivery choices, your site’s city and ZIP or postal code, and your required date.

Email, phone and WhatsApp. If you email, call or message us, we receive what you send and the contact details that come with it, such as your email address, phone number or WhatsApp profile name. WhatsApp is run by WhatsApp LLC under its own terms and privacy policy.

What stays on your device. The delivery estimator runs in your browser: what you enter is not sent to us unless you send a quote request. “Send by email instead” opens a draft in your own email program, and “Download your request” saves a text file to your device. Nothing reaches us until you send it.

The forms are for business enquiries. Please do not send patient information or other sensitive personal information, such as health, financial account or government ID details, through the site.

03

Information collected automatically

Server logs. Like most websites, the site’s host, Vercel, records technical details when your browser requests a page: your IP address, browser and device type, the page requested, the page that linked to it, and the date and time. We use them to deliver the site, keep it secure and fix problems.

Bot protection. When you send a form, Vercel BotID runs an invisible check in your browser to tell people from automated bots. It reads technical signals from your browser and device and may keep a short-lived token in your browser. We use the result only to protect our forms from spam and abuse.

No analytics or advertising trackers. The site does not use Google Analytics, advertising pixels, session recording or any other third-party analytics or advertising tools, and it sets no cookies of its own.

04

Information from other sources

The site does not receive information about you from data brokers or other third parties. If someone refers you to us, we receive what they share. To prepare a reply, we may look at publicly available business information, such as your organization’s website.

05

How we use information

We use the information described above to:

Answer you. Reply to your enquiry and prepare quotations, delivery estimates, proposals, viewings and video calls.

Run the site. Operate, maintain and improve the site, keep it secure, and keep spam and abuse off our forms.

Do business. Keep business records, follow up on your request and, where you are a customer, carry out our agreement with you.

Meet legal obligations. Comply with laws, including tax, export control and sanctions laws, respond to lawful requests, enforce our Terms of Use and protect our rights and the safety of others.

If we send you updates about our units or Vatoris EHR, every such email will tell you how to stop them.

06

How we share information

Service providers. Companies that run services for us and may use the information only to provide them: Vercel (hosting, server logs and bot protection), Resend (delivers form submissions to our inbox by email), Google (our business email), and providers of the other business tools we use to communicate and keep records.

To carry out your request. When you ask for a quote, delivery or financing, we may share the details needed with partners such as freight forwarders, carriers, inspection partners, banks or export credit agencies.

Legal reasons. When the law requires it, for example in response to a subpoena or court order, or when needed to protect our rights, our customers, the public or the site, or to prevent fraud.

Business transfers. As part of a merger, acquisition, financing or sale of all or part of our business, under appropriate confidentiality terms.

With your consent. In any other case, only when you ask us to or agree.

07

No sale and no targeted advertising

We do not sell personal information, and we do not share it for cross-context behavioral advertising (targeted advertising based on your activity across other businesses’ websites). We do not disclose personal information to third parties for their own direct marketing.

If your browser sends a Global Privacy Control signal, we treat it as a request to opt out of the sale and sharing of your personal information, which we already do not do.

08

Cookies and similar technologies

The site sets no cookies of its own and stores nothing in your browser to track you. The bot check described above may keep a short-lived token in your browser so our forms can tell people from bots. Your browser also keeps copies of images and videos for up to a week so pages load faster; these contain no information about you.

Sites we link to, such as LinkedIn, YouTube and WhatsApp, set their own cookies when you visit them, under their own policies. You can block or delete cookies in your browser settings. If you block the bot check, our forms may not send; you can always email us instead.

09

Do Not Track

Some browsers can send a “Do Not Track” signal. We do not track visitors over time and across third-party websites, and we do not allow third parties to do so on our site for advertising. So the site works the same way whether or not your browser sends the signal.

10

How we protect information

We keep reasonable administrative, technical and physical safeguards for the information we hold, suited to our size and the nature of the information, as New York’s SHIELD Act requires (N.Y. Gen. Bus. Law § 899-bb). For example, every page and form is served over an encrypted connection (HTTPS), our forms accept submissions only from our own site and screen out bots, access to enquiries is limited to people who need it for their work, and we use established service providers with their own security programs.

No website or email system is completely secure, and we cannot guarantee the security of information you send us. If a breach of security affects your private information, we will notify you and the authorities as New York law (N.Y. Gen. Bus. Law § 899-aa) and other applicable laws require.

11

How long we keep information

We keep enquiries and our correspondence with you for as long as we need them to answer you and to manage our business relationship, and after that for as long as we need them for legal, tax, accounting and record-keeping purposes or to resolve disputes. Then we delete them or remove what identifies you. Server logs are kept by Vercel for a limited period under its retention settings.

12

Children

The site is for businesses and governments. It is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has sent us personal information, contact us and we will delete it.

13

Visitors outside the United States

We are based in the United States. Information you send us is processed and stored in the United States and in other countries where our service providers operate, whose data protection laws may differ from those where you live. If you have rights under a data protection law that applies to you, contact us and we will respond as that law requires.

14

Your choices and rights

You can use the site without telling us who you are. Our forms ask only for what we need to reply: your name, email address and request.

You can ask us what personal information we hold about you, and ask us to correct or delete it, by emailing hello@vatoris.com. To protect you, we may need to confirm your identity first, for example by replying to the email address we have on file. We may keep information the law requires us to keep. You can ask someone to make a request for you if they can show you authorized them.

You can stop any marketing email from us at any time by using the link or instructions in it, or by replying to tell us. We will not treat you differently for exercising your privacy rights.

15

Rights under state privacy laws

Residents of some US states, such as California, have rights under state privacy laws. Depending on the state, these can include the right to know what personal information a business holds about you, to access, correct or delete it, to receive a copy, and to opt out of its sale, targeted advertising and certain profiling. Some of these laws do not apply to every business or to information collected in a business-to-business context.

Where a state law applies to us and to your information, we will honor your request as that law requires. Send requests to hello@vatoris.com and tell us your state of residence. If we decline a request, we will explain why, and you can ask us to reconsider by replying. If you are still not satisfied, you can contact your state’s attorney general.

16

Links to other websites

The site links to other websites and services, such as LinkedIn, YouTube, WhatsApp and listing sites. We do not control them, and their own privacy policies apply when you use them.

17

Changes to this policy

We may update this policy. We will post the new version on this page with a new date at the top. If we make a material change to how we use personal information, we will give more prominent notice, such as a notice on the site, before the change takes effect.
